1. Introduction

This Privacy Policy describes how BilliardsON OÜ, a company registered in the Republic of Estonia, operates the BilliardsON platform and handles your personal data. It applies to all users of our platform. By using our platform, you consent to the data practices described in this policy.

2. BilliardsON Performance Ranking (BPR)

To ensure fair competition and accurate matchmaking, the Platform utilizes a proprietary algorithmic ranking system known as the BilliardsON Performance Ranking (BPR).

• Data Processed: Match results, tournament placements, win/loss ratios, and match history.
• Visibility: Your BPR rating is a public metric visible on your profile and on tournament leaderboards.

3. Information We Collect

Information You Provide to Us

• Name, email address, and optional phone number.
• Account type and billiards skill level.
• Listing information (photos, descriptions, prices).
• Messages sent via the internal ATS and support tickets.

Sponsorship Hub Data

If you create a Sponsorship Hub player profile, we store the social media handles, follower counts, sponsorship tiers sought, current equipment details, and notable wins you provide. When your profile is visible, this is displayed to other paid subscribers.

4. How We Use Your Information

• To create and manage your account and listings.
• To display your public profile and BPR to the community.
• To detect and prevent fraud, scams, and abuse.
• To maintain platform security and track software bugs.

5. Data Security & Retention

We implement industry-standard security practices including HTTPS encryption, secure database hosting via AWS EU Region (Supabase), and Bcrypt password hashing. We do not store payment card numbers; subscription billing is handled securely by Stripe.

Account data is retained until you delete your account. Transaction and message histories may be retained for up to 3 years for legal and dispute resolution purposes.

6. Cookies & Analytics

We use cookies and similar technologies to run the platform, remember your preferences, and understand how the platform is used. Because BilliardsON OÜ is established in the EU, we ask for your prior consent before setting any non-essential cookie. You control non-essential cookies through our cookie banner and can change or withdraw your choices at any time using the “Customize” option in that banner. Visitors outside the EU may be served on an opt-out basis where permitted by local law.

Cookie categories

• Essential — required for the platform to function (authentication and session, security, and storing your cookie choices and privacy region). These cannot be switched off.
• Functional — remember preferences to improve your experience.
• Analytics — help us measure traffic and usage (see “Google Analytics” below). Set only with your consent.
• Marketing — used for advertising and campaign measurement. These are only set if and when we enable advertising features, and only with your consent.

Google Analytics

We use Google Analytics 4, provided by Google Ireland Limited, to understand how visitors use the platform — for example, pages viewed, approximate location derived from IP address, and device, browser, and referral source. Google processes this data on our behalf as a processor. Analytics storage stays disabled until you consent (we use Google Consent Mode).
